JOB TITLE: ADMINISTRATIVE ASSISTANT
EXEMPT (Y/N): N SALARY: $35,000.00- $45,000.00
SHIFT: 9:00 AM - 4:00 PM DIVISION: Administration
LOCATION: Town Hall DEPARTMENT: Administration
UNION AFFIL: NA SUPERVISOR: Town Administrator

SUMMARY: The purpose of this position is to provide a broad range of administrative and paralegal support to the Town Administrator and Administration Department. Relieve the department heads of administrative duties, scheduling and maintaining file systems to increase available time to focus on higher level functions and responsibilities.

ESSENTIAL JOB FUNCTIONS: including but not limited to the following.
  • Responsible for confidential and time sensitive material related to Legal, Human Resources and Town Administration matters.
  • Maintain various calendars (Town Administrator, weekly schedule) and schedule meetings as needed.
  • Prepare and formatting of letters, memorandum, and various written correspondence.
  • Answer telephones and respond to various inquiries directed to the Town Administration Offices as needed.
  • Trouble shoot and problem solve variety of situations in related areas.
  • Prepare routine and advanced correspondences including letters, memorandums, reports, and other documents as needed.
  • Establish a standard filing system for all documents and maintain files.
  • Input and update information into database systems.
  • Handle inputting information into scheduling system.
  • Responsible for working on specialized projects, which may include coordinating meetings, handling responses, research, and outreach.
  • Able to react to change productively and handle other essential tasks as assigned.

QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.   • High School diploma required; some college is a plus.
  • Minimum four (4) years' experience in an administrative and/or paralegal functions, related law field is a plus.
  • Excellent verbal and written communication skills. Must be able to disseminate information relating to operations in a clear, concise and consistent manner.
  • Possess excellent interpersonal and customer service skills in dealing courteously and tactfully with the public and other personnel. Maintain confidentiality when dealing with the public sector.
  • Experience in Microsoft Office applications including Word, Excel and Access; knowledgeable in other database systems and legal resources.
  • Knowledge and understanding of Legal and Human Resources concepts.
  • Experience in handling and preparing legal documents
