JOB TITLE: ADMINISTRATIVE CLERK (FULL TIME)
EXEMPT (Y/N): No SALARY: $35,000.00
SHIFT: M-F 6:30 am - 3:00 pm DIVISION: Public Work
LOCATION: DPW Facility DEPARTMENT: R R & M
UNION AFFIL: SPEA White Collar Unit SUPERVISOR: Superintendent
SUMMARY: The purpose of this position is to provide a broad range of administrative support to the Public Works and Building & Grounds Departments.

ESSENTIAL JOB FUNCTIONS including, but not limited to the following:
  • Answers telephones, take inquiries and complaints from public and forward to appropriate individuals/departments as needed.
  • Provide front office assistance to any resident walk ins.
  • Data input into computer system.
  • Reviews, verifies timecards to ensure accuracy to be submitted to payroll for processing.
  • Maintains attendance records of employees.
  • Prepare correspondences and other records.
  • Schedule appointments.
  • Prepare requests for records, information, generate reports and applications.
  • Handle purchasing duties for departments; including generating purchase orders and working with vendors.
  • Handle other essential tasks as assigned.
  • Other duties may be assigned.

QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

  • High School diploma required or equivalent, some college a plus.
  • Minimum two (2) years' administrative clerical experience in a related area a plus
  • Must possess excellent verbal, written and presentation skills; able to disseminate information relating to the operations in a professional, concise, and consistent manner.
  • Must possess strong interpersonal and customer service skills in dealing courteously and tactfully with the public and other personnel over the phone and in person, sometimes in stressful or emergency situations. Maintain confidentiality when dealing with the public sector.
  • Strong organizational and planning skills, accuracy, and attention to details.
  • Good time management and problem-solving skills.
  • Positive attitude, good reporting, and creative skills.
  • Must possess strong computer skills, experience in Microsoft Office applications including Word, Excel, PowerPoint, and Access, knowledgeable in other database systems.
  • Experience with automatic payroll systems a plus.
