SUMMARY: Under the supervision the Municipal Court Administrator, performs detailed court clerical work, working under the general directions of the Municipal Court Judge and Municipal Court Administrator in the Municipal Court. Completed work is reviewed for completeness and accuracy by the Court Administrator or Deputy Court Administrator. In addition to the above function, help the general population whose basic language is Spanish, does related work and typing as required.
ESSENTIAL JOB FUNCTIONS include the following. Other duties may be assigned.
- Prepares docket of cases to be called.
- Records arrangement for payment of court fees and disposition of cases and
orders on court records.
- Types list of cases received and their disposition.
- Secures information for judges and contact witnesses, attorneys, and litigants.
- Writes minutes and proceedings of court sessions.
- Draws up for the judge's signature writs and orders such as bench warrants,
commitments, and remands.
- Prepares lists of judgments; endorses subpoenas as to number of days of court
appearances.
- Affixes court seal to papers and documents.
- Able to react to change productively and handle other essential tasks as
assigned.
- Provide bilingual assistance in Spanish to public as needed.
- Receives fines and issues receipts for traffic and criminal violations.
- Attendance at evening session of the Secaucus Municipal Court as scheduled by
the judge and/or Court Administrator and performing all clerical work necessary
to the commencement of the session and the closing out of the work
immediately following the session will constitute the hours of work.
QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. - High School Diploma required or equivalent, some college a plus.
- Minimum two (2) years administrative clerical general business experience.
- Excellent verbal and written communication skills, both in English and Spanish,
able to disseminate information relating to the operations in a professional,
concise, and consistent manner.
- Knowledge of the laws, ordinances, rules, regulations and procedures relating to
the operation of a municipal court and court proceedings preferred.
- Knowledge of the form and use of trial calendars, write decisions, orders, rules
and other matters pertaining to the court; of the making of entries in ledgers and
disbursement journals; of the preparation of clear, sound, accurate and
informative reports and of the establishment and maintenance of needed
records and file.
- Ability to dispense information relating to court matters; to prepare trial calendars,
writs, decisions, orders, rules, and other matters pertaining to the court.
- Maintain financial records; Prepare clear, sound, accurate and informative
reports and to establish and maintain records and files.
- Strong customer service focus with strong interpersonal skills in dealing with the
public sector. Sometime under stressful conditions.
- Strong organization skills, accuracy, and attention to details.
- Experience in the collection of cash and issuance of receipts.
- Must be able to perform clerical duties necessary during mandatory evening
sessions.
- Experience in Microsoft Office applications including Word, Excel, Access, ATS/ACS
systems and MACS or other comparable municipal court database systems a plus.
