JOB TITLE: ADMINISTRATIVE CLERK
EXEMPT (Y/N): No SALARY LEVEL: $35,000.00
SHIFT: Flex sched. may inc. late sessions DIVISION: Police
LOCATION: Town Hall DEPARTMENT: Records Bureau
UNION AFFIL: SPEA – White Collar unit SUPERVISOR: Captain
SUMMARY: The purpose of this position is to provide a broad range of clerical support duties related to the various functions of the Police Department, including answering the telephone and referral, creation and filing of records, retrieve police reports from files or microfilm upon request for photo copying, and fulfilling requests for information regarding various applications handled through the Department.

ESSENTIAL JOB FUNCTIONS: Including but not limited to the following. Other duties may be assigned.
  • Answer telephones and respond to various inquiries directed to Records Bureau both via telephone and in person, forward calls to appropriate official as needed, and refer messages.
  • Prepare routine correspondences and reports.
  • Interface with court personnel to obtain and recall information which needs daily processing.
  • Review, code and enter police reports into database.
  • Able to react to change productively and handle other essential tasks as assigned.
  • Responsible for maintaining confidential on time sensitive material related to police matters.
  • Maintain secrecy and confidentiality of all police department business.
  • Other administrative duties as needed.

QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.   • High school diploma required, or equivalent, some college a plus.
  • Minimum two (2) years administrative clerical experience, preferable within a police department environment.
  • Must pass a police department background investigation.
  • Excellent verbal and written communication skills in English, bilingual Spanish is a plus.
  • Possess excellent interpersonal and customer service skills in dealing courteously and tactfully with the public and other personnel. Maintain confidentially when dealing with the public sector
  • Possess strong computer skills in Microsoft applications including Word, Excel and various other database systems.
  • Experience in the collection of cash and issuance of receipts.
  • Ability to apply common sense, understanding, and independent judgment to carry out instructions furnished verbally or written form.
  • Due to the nature of the environment must maintain the confidentiality and secrecy of all information received or discerned in the department.
